Role Overview:
The Director of Finance & Administration reports to the President of Xavier Jesuit Academy and works closely with the Board of Trustees, Treasurer, Finance Committee Chair, Director of Advancement, the Principal, and front office staff. As a leadership team we work together to ensure our ability to deliver on our vision and mission. The DFA’s primary role is to lead and manage the day-to-day financial operations of XJA (i.e., banking, transactions recording, financial decision-making, etc.) as well as develop, maintain and manage short and long-term cash, capital and operating budgets. Secondarily, the DFA manages some human resource operations (i.e., payroll and employee benefits administration). As the financial and business leader of XJA, you will be a trusted advisor to the President and have responsibility for managing, implementing, and maintaining business policies, processes, procedures and systems.

Director of Finance & Administration Accountabilities/Responsibilities:
1. Manage financial operations and accounting functions, ensuring organization efficiency and effectiveness consistent with our goals and values. Maintain a solid functional foundation with the ability to adapt and adjust to growth and evolving priorities.
● Manage, implement and maintain policies, procedures, and systems responsive to the
financial and business (i.e., philanthropy and operational) needs of XJA.
● Account for and record all business affairs and transactions and perform key financial
processes (i.e., purchasing and expenditures, payroll, student funding, tuition) including
managing the Ohio EdChoice Scholarship program.
● Manage key financial controls and disciplines and lead the preparation, implementation,
monitoring and presentation of the school operating budget to the President and Finance
Committee.
● Develop and maintain banking and investment advisor relationships and work
cooperatively and effectively with external auditors throughout the fiscal year.
● Responsible for maintenance of tax-exempt status and preparation of any needed tax
returns and fillings.
2. Serve as the financial and business leader of XJA and support the President, Director of
Advancement, Principal, Treasurer, and Board of Trustees.
● Prepare relevant financial analyses and recommendations to the President and the
Finance Committee for key decisions.
● Support the work of Board Committees, including but not limited to:
o Finance Committee
o Facilities & Technology Committee
o Philanthropy & Mission Advancement Committee
● Build mutually beneficial relationships with board Trustees. Provide updates and
respond to requests as appropriate.
3. Manage human resources administration and ensure policies, systems, and processes
support our mission and foster individual and team success.
● Oversee payroll and coordinate employee benefit programs:
o Coordinate semi-monthly processing of payroll in PayCor
o Enter and review semi-monthly payroll journal entries.
o Coordinate 403(b) recordkeeping and upload amounts to the 03(b)4 website.
● Manage and collect employee paperwork items as required by law and the Archdiocese
of Cincinnati.
● Ensure the utilization of best practices for non-profit organizations including compliance
with state and federal law.
● Lead and support a culture of mutual respect, individual engagement, and team
effectiveness.
4. Serve as a trusted, valued member of the XJA leadership team. Perform additional duties
and responsibilities as needed in support of our mission and values.
Education & Experience:
● Minimum 5-7 years financial management experience (fund accounting experience is a
plus) with some experience in a financial role at a nonprofit organization preferred.
● Undergraduate degree in Accounting or Finance required; CPA or MBA is a plus
Skills & Qualifications:
● Demonstrated knowledge Microsoft Office apps, Quickbooks Online and Google
WorkSpace Suite applications and tools; proficient with financial software with the ability
to learn new systems
● Excellent verbal and written communication skills with ability to build and manage
effective working relationships
● Ability to simultaneously manage multiple projects with strong organizational skills and
attention to detail
● Ability to prioritize tasks and work both independently and collaboratively to meet
deadlines and accomplish goals
● Ability to adapt to support evolving needs of the organization

outcomes.
