Job Overview
Provides nearly invisible support to the President and senior staff, acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various projects, which include scheduling, contact management, preparing materials for meetings, and participating in a wide range of special projects. The Coordinator possesses a warm, discerning customer service personality and brings the necessary skill set to perform, coordinate and oversee administrative duties while providing an extensive level of support to the President and senior staff.

Essential Functions

  • Maintain the President’s schedule, including day-to-day and long-term management of meetings, projects, and priorities
  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants
  • Assist President with clerical duties including, but not limited to typing and filing
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
  • Ensure President is prepared for upcoming appointments by gathering materials necessary for each meeting
  • Work with senior staff to collect and assemble information for board presentations, special projects and strategic planning
  • Serve as the first point of contact for a wide variety of high-level relationships between the President and external contacts
  • Facilitate, build and monitor relationships including tracking contacts in database and managing follow-up
  • Handle phone, email and postal mail inquiries and respond appropriately
  • Draft and edit correspondence, articles, reports and presentations; transcribe meeting notes
  • Create a warm, professional, confidential environment and provide high quality service and assistance to all school community members including administrators, board members, students, parents, teachers, staff, and visitors to the President’s office.
  • Represent the school at LPC meetings and events.
  • Plan and prepare staff appreciation events and recognize special school related days/weeks.
  • Maintain the entire school campus calendar of events to ensure that all events scheduled do not affect the other events listed.
  • Prepare and plan the class ring ceremony and club fair.
  • Coordinate Senior Awards and Declarations in partnership with Campus Ministry and School Administration for Senior Awards and Declarations
  • Coordinate and facilitate the planning and execution of graduation events, including Baccalaureate, in conjunction with the Principal and Campus Ministry.
  • Gather information on Academic Summer Camps and coordinate with the Athletic and Marketing Department to begin promoting by mid 3rd quarter.
  • Assist the Director of Marketing with collecting material at events to share on Social Media and other duties as assigned.
  • Provide coverage for the Main Office Assistant as needed
  • Other duties as assigned.

  • Bachelor’s Degree Preferred
  • Knowledge of good telephone etiquette with the ability to deal tactfully and confidently with callers and visitors

POSITION SUMMARY: Custodial and Facilities Assistant will work in the Facilities Department of the school and assist with the daily custodial service while supporting and maintaining Archbishop McNicholas High School’s main campus buildings, grounds and athletic fields.

QUALIFICATIONS AND EXPERIENCE: Three years of commercial custodial experience with some grounds maintenance experience.  Must be familiar with the use of equipment related to commercial custodial service.  High School Diploma or GED equivalent preferred.  Specific skill or trade certifications are beneficial. This position is supervised by and will work closely with the Manager of Facilities.

Essential Duties and Responsibilities:

The task is broken down into several duties performed throughout the day or at regular intervals. Generally responsible for tending to the daily needs of the facility and grounds.

Building

  • Morning opening of the building.
  • The custodian’s main responsibility is to clean the school and keep it in ultimate clean environment for our students, faculty and staff. Various tasks are related to this responsibility on a daily basis.
  • The “daytime custodian” is responsible for the cleanliness and sanitation of the student Café daily at the end of each dining period.
  • Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, classrooms, parking lots, and all outdoor spaces
  • Cleaning wood, linoleum, tile and other floors. This includes shampooing rugs and carpets.  Preferably familiarity with mechanical equipment, commercial vacuums, floor buffers for floor cleaning, maintenance, and waxing
  • Emptying trash and recycle cans and dusting all surfaces
  • Light maintenance duties; changing light bulbs, ceiling tiles, hanging pictures
  • Assist with preparing facilities for changing weather conditions

 

Grounds

  • Ensure all exterior surfaces are maintained in a safe and attractive condition
  • Event set up and tear down
  • Occasional event coverage on nights and weekends
  • Complete work requests as assigned
  • Maintain all athletic facilities (indoor and outdoor) for practices and games
  • Assist with all aspects of campus security, if needed
  • Assist with ground maintenance which may include mowing, weed control, landscaping, snow and ice removal.
  • Perform trash disposal service on the high school campus, if needed

    2+ years of experience in alumni relations, event planning, or donor engagement (preferably in a school or non-profit setting).
    Excellent interpersonal, verbal, and written communication skills.
    Strong organizational and project management skills.
    Ability to work independently and collaboratively in a team environment.
    Proficient in Microsoft Office, database systems (e.g., Raiser’s Edge or similar), and social media platforms.

    Preferred Qualifications:
    Experience working in a Catholic school or faith-based institution.
