The CISE Office Coordinator/Donor Relations Manager serves two roles: 1. Is responsible for coordinating and supervising the day-to-day operations for CISE, and 2. Administration of and managing the Raiser’s Edge database (RE NXT) while maintaining a good working relationship with CISE donors and volunteers.

Office Coordinator: Oversees office operations, office-related and administrative activities, leads scheduling for the Board of Trustees, Executive Committee, and Governance Committee, plans for the meetings (includes agenda, meeting reminders, booking room, refreshment, information packets, and coordination with security/parking, welcoming members, and taking minutes). Keeps track of office necessities and supplies and ordering as necessary. Is the liaison with outside vendors. Provides administrative support to the Executive Director. Assists in opening mail and logging in checks, cash, and stock received as necessary. Is the main point of contact by email and phone for the CISE office. Assists with the planning and execution of CISE special events.

Donor Relations Manager: Is the administrator of Raiser’s Edge/RE NXT and maintains the integrity of the database, updates as necessary, stays current on use of RE NXT. Enters gift into RE database. Merges and prints letters to donors from RE. Oversees access to RE NXT. Runs queries/exports/reports as needed. Works on the CISE campaign with the Campaign Chair(s) and Steering Committee. Has the ability to work congenially with the CISE board, a variety of constituencies, the business community, donors, school communities, volunteers, and parents. Tracks and responds to life events of office staff, board members, and donors as much as possible. Maintains friendly, helpful relationship with board, donors, and all contacts of CISE. administrative and clinical supervision to 3 program case managers, and Social Work Student Interns. Additionally, the Case Management Supervisor maintains a small caseload of case management clients enrolled in the Preferred Communities program. This position is responsible for the management, implementation, and quality assurance of trauma-informed, family-centered case management services, ensuring compliance with program requirements/guidelines.

This position will work out of our Cincinnati MidPointe office location (7162 Reading Rd, Cincinnati, OH 45237) normal working schedule is Monday-Friday, 8:30am-4:30-pm, and reports to the Director of Refugee Resettlement Services. This is a salary exempt role.

Job Responsibilities:

Promote teamwork; coordinate the workload of case managers and delegate responsibilities; determine work priorities and ensure adequate staff coverage; communicate regularly with Refugee Resettlement Services Director
Work with staff, volunteers, and key stakeholders in the community to ensure clients receive services in a timely and effective manner.
Ensure program goals are met and reported according to contractual agreements.
Assume responsibility for the accuracy, substance, and timeliness of program reports, schedules and other relevant work assignments.
Maintain a caseload of 1-5 Preferred Communities intensive case management cases as needed.
Track program indicators for Preferred Communities and complete program reports including Preferred Communities Data Supplement Excel Workbook and USCCB Diocesan Narrative Quarterly Report.
Ensure successful collaboration with external partners; conduct outreach to community service providers to enhance capacity to support vulnerable refugee populations.
Oversee Resource Specialist and Acclimation Program services to ORR-eligible clients who are within 30 days to 2 years post-arrival.
Recruit social work student interns to assist with case management services and serve as their Field Instructor.
Ensure RSS State webtool is updated weekly and documentation is reported per program requirements.
Conduct regular reviews of client case files to ensure quality in service provision and fulfillment of documentation requirements. Act as lead in Continuous Quality Improvement chart review audits for Preferred Communities program and Refugee Support Services case management services.
Resolve problems and mediate conflicts encountered during daily operations, determine appropriate solutions, and promote teamwork.
Provide annual performance reviews of direct reports as well as training, development and performance feedback.
Coordinate new staff training upon hire and conduct ongoing training as needed to ensure high quality service provision in line with agency and funder guidelines.

Required Qualifications and Skills:

Bachelor degree in social work and five years’ experience providing case management services with supervisory experience
State of Ohio LSW
Demonstrated ability to work with a variety of cultures, partners and groups; excellent communication skills, organizational and facilitation abilities; flexibility and adaptability to work with varying client needs and clients from other cultures
Must be accurate, detail oriented and organized, and have good time management skills
Ability to work well in team environment
English required, foreign language skills a plus.
Proficient in computer-based client database systems and Microsoft Office Suite.
Valid driver’s license

Preferred Qualifications and Skills:

Master degree in social work
Experience working in refugee resettlement or with refugee/immigrant populations

As the Preferred Communities Case Manager—Refugee Resettlement Services, you will provide trauma-informed Intensive Case Management and family-centered interventions to ORR-eligible individuals experiencing any of the following vulnerabilities: single parents/guardians, clients with physical disabilities or medical conditions requiring ICM, clients with mental health needs, elderly and homebound clients, youth who have spent many years in refugee camps, survivors of domestic violence or gender-based violence, secondary migrants new to the area, and clients who need social adjustment supports.

Job Responsibilities:

Provide case management services in accordance to the Preferred Communities Program Plan, including:
Complete initial assessment and submit to USCCB through MRIS online system within 7 days of client enrollment
Complete interim assessment every 90 days and submit to USCCB through MRIS online system by the 104^th day
Complete closing assessment and submit to USCCB through MRIS online system within 14 days of case closure date
Record external referrals in agency client database system
Develop self-sufficiency service plans in conjunction with client
Meet with clients on caseload at least once every 30 days (but more often as appropriate for clients with exceptional needs) for at least 6-12 months or until self-sufficiency is reached
Maintain caseload of 15-30 clients.
Connect clients to community resources to help address needs and benefit their daily living (i.e. food pantries, thrift stores, faith communities)
Ensure case files, both paper and electronic, are kept up to date with the required documentation as set forth in the Cooperative Agreement and program guidelines.
Complete case notes for all client interactions and ensure information is entered into the program database in a timely manner per documentation policy procedures.
Maintain communication and cultural understanding with clients, between clients and partners, the Agency, and the community.
Work collaboratively with student interns and volunteers.
Assist with preparation of program reports.
Collaborate with Refugee Resettlement Services staff as needed to ensure that clients are receiving the services they need to achieve their goals.
